How to reduce PDF size for job, university and visa portals

Updated

Application portals for jobs, universities and visas often want several documents at once: a CV, certificates, a passport scan, bank statements. Each upload box usually has a size limit, sometimes as small as 100 KB. Compressing is only part of the job. Doing things in the right order makes the difference between a sharp document that fits and a blurry one that still doesn’t.

Step 1: Read the upload rules first

Before touching any file, check three things on the portal:

  • The limit per file, such as 200 KB, 1 MB or 2 MB.
  • Whether each document has its own upload box, or everything goes into one file.
  • Which formats it accepts. Many portals want PDF for documents, and some also accept JPG.

Separate upload boxes are good news: each document gets the whole limit to itself, so don’t merge documents the portal wants separately.

Step 2: Turn photos and scans into PDFs

If you photographed documents with your phone, put them into a PDF with JPG to PDF. Choose A4 as the page size so the pages look like normal documents, and put the photos in the right order.

The new PDF will probably be large. JPG to PDF copies your photos in at full quality, so nothing is lost at this stage. You will shrink it at the end.

Step 3: Unlock statements you need to combine

Bank statements and some official documents often open normally but block editing. Merge PDF and the page tools can’t change those files. If the document is yours and you need to combine it with others, remove the restriction with Unlock PDF: you confirm that you own the document or have permission to change it, and download an unrestricted copy.

If you only need to make a statement smaller, skip this step. Compress PDF can compress restricted statements and keeps exactly the same restrictions.

Step 4: Combine and trim

  1. If the portal wants one file, combine everything with Merge PDF, in the order the portal lists the documents.
  2. Fix any pages in the wrong place with Reorder PDF pages.
  3. Remove what nobody needs with Delete PDF pages: blank backs of scanned pages, cover letters the portal didn’t ask for, and terms-and-conditions pages from statements, if the portal doesn’t need the full statement.

Every page you remove makes the next step easier. Fewer pages is the only way to shrink a PDF that is mostly text.

Step 5: Compress once, at the end

Open Compress PDF, choose Target size and type the portal’s limit. PDFHive starts with the gentlest setting and keeps the best quality that fits, then shows the new size before you download.

Compress the finished file once, rather than compressing each document and then compressing the merged file again. Each time a picture is saved again as a JPG, a little more detail is lost.

Which setting suits which document?

Document What usually works
CV or letter saved from Word Already small. Compressing changes little, so remove pages if it’s too big.
Passport or ID card scan Strong or a target size. In our tests, single-page passport scans came to about 180 KB with Strong.
Bank statement or payslip (scanned) Black and white if it has no colour you need. A scanned statement went from 1.8 MB to about 80 KB in our tests.
Certificate with a coloured seal or stamp Recommended or Strong. Avoid Black and white, which removes the colour.

Step 6: Check before you upload

  1. Open the compressed PDF and zoom in on the smallest text, signatures, stamps and photos. They should be easy to read.
  2. Check the page count and order.
  3. Give the file a clear name, such as passport-scan.pdf. Some portals reject names with spaces or symbols.

If the limit is simply too small

Sometimes a long scanned document can’t fit a small limit and still be readable. PDFHive will tell you the smallest size it reached rather than making the text unreadable. Then:

  • Remove more pages, keeping only those the portal really needs.
  • Use Black and white for text-only scans.
  • Check whether the portal lets you upload a second file, or contact the organisation and ask how they want long documents sent.

Frequently asked questions

Should I put all my documents in one PDF?

Only if the portal asks for one file. If it has a separate upload box for each document, keep them as separate PDFs, so each one gets the whole size limit to itself.

Why is the PDF I made from phone photos so big?

Phone photos are large, and JPG to PDF copies them in at full quality so nothing is lost. That is expected. Compress the finished PDF afterwards and it usually becomes much smaller.

My bank statement won't merge. What's wrong?

Many bank statements are restricted against editing, and Merge PDF can't combine restricted files. If the statement is yours, remove the restriction with Unlock PDF first, then merge. If you only need to compress it, Compress PDF can do that directly and keeps the same restrictions.

Will compressing change what my documents say?

No. Only the pictures inside the PDF are saved again at a smaller size. Typed text, numbers and the order of pages are not changed. Always zoom in on the result to check that small print and stamps are still clear.
